The benefits included at each level are designed to deliver impact and return on your investment. The sponsorship application deadline is April 1, 2026.

Complimentary registration passes – includes entry to the keynote and plenary sessions, breakout sessions, trade show floor, welcome reception, refreshments, and social night, as well as complimentary access to PDF versions of the presentations available for a limited time after the conference in the event app. Admission is subject to capacity and other requirements. Discounted registration pass $1200 – Purchase more passes at a special rate. Same access as complimentary passes. 

Additional event passes above the discounted pass allotment may be available for purchase, subject to availability and at CLHIA’s discretion. Companies that are not CLHIA members or affiliates will be charged the non-member rate of $2080 plus applicable taxes..

Sunrise talk* – This 30-minute talk will be scheduled on Thursday morning prior to the first set of workshops. Your talk will be promoted in advance of the conference on the conference website and featured in the event app. Speakers for this session must use one of the registration passes included in the sponsorship package. $1,149 each

Exhibit booth*  – Plan to be visible with your own 8x10 foot booth. Your company will be listed as an exhibitor on the conference website, event app and included in the Exhibit Hall map for attendees to find you. (Spot placement is available on a first-come basis.) $1,149 each

 Keynote Presentation Sponsor – Introduce the guest keynote speaker at the official kick-off plenary session. A representative from your company will have the opportunity to introduce this segment with a three-minute pre-approved script. Your company logo will be recognized at the plenary, on the conference website and event app, and receive verbal recognition in the Chair's remarks.

Exclusive branded item – every registrant will receive a premium branded item featuring your company logo. Available until April 1, 2026.

       

Branded item – every registrant will receive a branded item featuring all platinum logos (single-colour logos) and the CLHIA logo. The item will be provided by the CLHIA. Available until April 1, 2026. 

 

     

Digital banner on the CLHIA event app – be front and centre every time an attendee opens the event app. Provide a custom advertisement for the ultimate visibility.

Exhibit Hall lunch sponsors – Be front and centre as the lunch sponsor during one of the busiest times in the Exhibit Hall. Platinum sponsors will be recognized on the conference website, in the event app, and onsite in the Exhibit Hall during the lunch. 

 

     

Exhibit Hall closing reception sponsor  – Stand out as a Silver sponsor at the well-attended closing reception and exhibitor draw showcase. Your company logo will be recognized on the conference website, in the event app and onsite during the closing reception.  

   

   

Access to the registrant list  – opt-in registrant list will be shared after the early bird deadline so you can make a networking plan. 

   

Meet the Sponsors pre-conference email – we’ll promote Diamond and Platinum sponsors with their logos and descriptions; and Gold and Silver sponsors with their logos to all registrants in our “Meet our Sponsors” pre-conference email. 

 

Sponsor recognition in e-blasts – Your company logo will be included as part of a series of e-blast promotions to promote the event. Logo must be submitted at least one week prior to each e-blasts' distribution.

 

Recognition on the event app – design your own sponsor page on the Meet our Sponsors section. In addition to your logo and description, add videos, images, social media links and your own marketing materials to attract new clients. 

Recognition on the conference website – Your organization’s logo, description and website will be promoted on the conference website at  clhia.swoogo.com/cafac2026.

Branding add-ons 

Showcase your company, products and services with these additional brand opportunities that will be front and centre throughout the conference. These add-ons are available to those sponsoring at any level for an additional cost and are available on a first come basis. Limited to one per sponsor or exhibitor company. All prices subject to applicable taxes. 

Charging Stations (exclusive) 
Don’t let attendees run out of juice! With charging stations strategically placed around the venue attendees will be able to easily connect and charge their devices. All stations will be branded with your company logo, and you will be recognized as a charging station sponsor on the conference website and in the event app. Available until April 1, 2026.

Connect Lounge (exclusive)
The lounge will give attendees a place to retreat during breaks to unwind, recharge and connect with colleagues in the conference area. Your company name and logo will be used to advertise this space on the conference website, in the event app, and on signage in the lounge. Option to offer swag with your company's branding and dress up the space with branded items. These items are at the expense of the sponsor. Approval on items is required in advance and the location of the lounge will be determined by the CLHIA. Available until April 1, 2026.

Hotel Key Cards (exclusive)

Place your branding right in the hands of hundreds of guests by featuring your logo or custom image on attendee hotel key cards. Artwork must be received by April 1, 2026. Key cards will only be available to Hilton guests only.

Hotel Room Drop (exclusive)
Welcome attendees with a branded gift from your organization delivered to their hotel room after check-in.

Note: The room drop gift is supplied by the sponsor and must be approved by the CLHIA. Items must be received at the hotel by June 8, 2026, and sponsor must prepare items for hotel delivery. Room drop will only be available to Hilton, Delta and Marriott hotel guests. Available until April 1, 2026

Hydration Sponsor (exclusive)
Keep attendees refreshed and make a global impact as the Hydration Sponsor. This special partnership with Fill it Forward includes co-branded reusable water bottles for all delegates, reducing single-use waste while supporting clean water, food, and reforestation projects worldwide. Your logo will appear on bottles and your company will be recognized in the event app. Available until March 6, 2026.

All attendees will receive a name badge with a lanyard. As the lanyard sponsor, your single-colour logo will be printed on all lanyards. Lanyards are provided by the CLHIA. Available until April 1, 2026.

Refresh and Recharge restroom sponsor (exclusive - 2 restroom sets)
This sponsorship offers guaranteed visibility with the opportunity to add custom signage in high-traffic restrooms. Sponsorship includes refreshing products for attendees. Sponsors may also provide approved swag or branded amenities to enhance the experience. Signage production costs are additional, and all items must be pre-approved by CLHIA. Graphics will be printed and installed by CLHIA's preferred vendor and will be placed in accordance with venue restrictions. Available until April 1, 2026.

Registration Badge Sponsor (exclusive)
Keep your brand front and center throughout the event. As the Registration Badge Sponsor, your logo will appear prominently on the reverse side of all delegate badges, ensuring continuous exposure during the entire conference. Your company will be recognized on the conference website, in the event app and onsite. Badges are produced by CLHIA. Available until March 6, 2026.

Special Event Sponsor (exclusive)
This well attended social event is where attendees network, form new connections, and have fun!

As the exclusive sponsor, your company logo will be recognized on the conference website and event app. Your company will be verbally and visually acknowledged as the exclusive sponsor during the night.

Option to offer swag with your company's branding. These items are at the expense of the sponsor. Approval on items is required in advance and method of distribution will be the determined by CLHIA. Available until April 1, 2026.

Welcome Activity (exclusive)
Be the exclusive sponsor and participate in the welcome activity in Quebec City. This activity will be held the morning before the opening plenary session. As the exclusive sponsor, your company logo will be recognized on the conference website and event app. Attendee participation will be limited.

Option to offer swag with your company's branding. These items are at the expense of the sponsor. Approval on items is required in advance and method of distribution will be the determined by CLHIA. Available until April 1, 2026.

Ready to Apply - read this first! 

Here's how the application process works: 

Step 1: Submit your intent to become a sponsor or exhibitor. 

A company representative responsible for being onsite at the conference is recommended to
submit the application. If it's not known who will be attending the conference, anyone from your company can complete the request to apply. 

The primary email address on the application will be notified from events@clhia.ca within 5 business days if the application is approved or declined.  
 
Step 2: Complete your application and start registration 
Upon approval, the same applicant will need to complete the application process. This step includes selecting your company details, selection of add-ons (if applicable), and payment by credit card or Electronic Funds Transfer (EFT). 

The applicant will be required to allocate passes for your organization. This can be done when general registration opens in March and no later than May 1, 2026. Refer to your selected sponsorship level for your pass allocation. 

A confirmation email from events@clhia.ca will be sent once the application is completed. The CLHIA will reach out to the applicant regarding specifics about the sponsorship.
